
Information on QSLing
and Submitting SWL Reports
QSLing with, or submitting Short Wave Listener (SWL) reports to, a Special Event Station (SES) is very straightforward, IF the Radio Amateur or SWL carefully reads and follows the requirements as stipulated by the SES.
Speaking from experience, actually logging a SES can be thrilling and extremely gratifying for those who appreciate the significance of such an event and the effort behind it.
We want this event to be a success and we want to send a QSL card to every Amateur Radio Station who either works the station and sends us a QSL card, or to every SWL who sends us a signal report. Provided the information submitted is accurate and can be substantiated by the CF3VEDAY log, we will process an official QSL card and the submitter can add a confirmed piece of history to his/her log book or QSL collection. If it cannot be confirmed in our log, no card will be sent.
However, we need more.
As much as we would like to do so, we cannot underwrite the costs of mailing a QSL card to you. We're already out of pocket for the cost of the special call sign authority and QSL card printing. In the case of those members of the Group travelling to Ottawa for the official opening of the Canadian War Museum, there will also be travel and billeting costs. While this admittedly isn't a DXpedition to a tiny Pacific island, there ARE costs involved. So, here's what we need from you. If you don't follow the instructions given here you will not receive a card.
CONTENT of REPORTS:
All QSLs and SWL reports must include the following information: date, time (in GMT/UTC), station worked (or heard for SWLs), frequency, mode (SSB, CW, AM), signal report using RST method (SWLs may use SINPO). Optional information: equipment used. Reported times MUST be in GMT/UTC (Zulu). (If you are not a Netscape user and do have Java enabled, you may also try HERE.)
SUITABLE ENVELOPE:
The size of our QSL card will be larger than a "normal' card, in fact more than twice the size of two "normal" QSLs side by side. This larger card is not of any significant extra weight.
Our card measures 8.25ins X 5.25ins (21cm X 13.5cm or 210mm X 135mm). That means a slightly larger envelope is required.
To make sure our QSL card will fit without needing to be folded, please send a self-addressed stamped envelope (SASE), with measurements of 9-5/8ins X 5-7/8ins (244mm X 149mm). If you send a smaller envelope along with sufficient postage, we'll have to fold the card up to send it in the envelope you supplied. Surely you wouldn't want that! And, if the envelope you send is too large, you'll need to include extra postage (see below).
POSTAGE:
If you are not in Canada and do not have Canadian postage stamps, it will be necessary for you to include sufficient International Reply Coupons (IRCs) or an alternate ($2 USA 'green stamps' for most cases) to cover the cost of mailing to you.
Current postal rates to international and USA destinations via Canada Post (which is how we will be sending the QSLs) can be viewed by clicking international or USA. You are urged to do so.
In most cases at least two US dollars (in lieu of postage stamps) should suffice. One is NOT enough and the responsibility for sending the correct postage will be yours. Check the rates to be certain.
We have been receiving too many QSL requests that have insufficient or no enclosure to cover return postage. ONE U.S. DOLLAR IS LESS THAN IT COSTS US TO MAIL OUTSIDE OF CANADA!
Our intention is not to make a profit but neither do we wish to be out of pocket any more than is necessary.
United States postage stamps (or other non-Canadian stamps) CAN NOT, I say again, CAN NOT be used for mail originating in Canada!
SENDING YOUR QSL CARD/SWL REPORT TO US:
Please pay attention to this. We must have a self-addressed envelope (as described above), and sufficient postage (or $2 U.S.) to get the CF3VEDAY card to you. This means that you may NOT use the Bureau.
Cards/reports must be sent DIRECT to QSL Manager and special call sign holder Bob Cooke, VE3BDB. You can find the mailing address for VE3BDB at the Canadian Amateur Radio Call Sign Data Base, at QRZ.com and at Buckmaster's HamCall.net, and for CF3VEDAY at QRZ.com and at Buckmaster's HamCall.net.
Please DO NOT USE THE BUREAU. Obviously, if you do use the Bureau you won't be able to send the required SASE. Besides, the CF3VEDAY card is too large for the Bureau. That's why all QSLing must be direct.
Sorry, but if you fail to follow these simple instructions, we will be unable to QSL with you.
I trust this information will be useful in ensuring that YOU get the card that you want. You can be certain that WE want you to receive it! The card is unique, original and a "keeper" and will be of historic value with its 5-letter suffix call sign CF3VEDAY, a first in Canada!
