Monthly Meeting Minutes-Mayes County Amateur Radio Club – 1/29/2016

 

Meeting called to order at 1900 (7:00pm), by Frances Emerson-Acting President MCARC

Sign-In sheet was passed around, and Annual Dues was collected at this time. 2 Officers and 22 members and guests were present.

The Pledge of Allegiance was observed.

Self-Introductions were made; a Quorum was announced.

Minutes were read for the October 2015 meeting. A Motion was made to accept the minutes as read by Steve (Doc) Johnson; Seconded by Johnny Rentfro. The Motion passed.

The Treasurer’s Report was read. It was mentioned that a payment towards the outstanding debt to Ken Duncan was made by check of $60.00, handed to him at this meeting. A Motion to accept the Treasurer’s Report was made by Greg Adams; Seconded by John Simon. The Motion passed by voice with no opposition.

Repeater Report: Operations are normal with the 147.060 repeater. The UHF (444.675) repeater has a time-out issue, and will be looked into and trouble-shot. It was reported that the .060 repeater had problem when weather was cold and wet, but since the weather has improved the operation has been normal. The Keetonville Hill repeater (442.075) has an Echolink Net on Wednesday nights hosted by Johnny Rentfro. Checking in on Echolink, look up N5XQK-L.

Net Coordinator’s Report: Larry Yarbrough reported for December 68 check-in’s / 8 rechecks, and for January 55 check-in’s / 5 rechecks.

Unfinished Business:  None

New Business:  Due to Scott Kersey’s resignation as President; (the Treasurer read his letter of resignation for those that had not received one by e-mail), nominations were made for the office of President by a special election in accordance with Article 5, Section 3 of the Constitution and By-Laws. A nomination was made for Steve (Doc) Johnson to fill the office of President, with no other nominations being made. Discussion of the nomination included Steve introducing himself to the club, and what his vision and plans are for the future of the club. A Motion to vote for Steve (Doc) Johnson as the new President by Acclimation was made by Martin Jackson; Seconded by Greg Adams. The nomination by Acclimation passed.

New Business Continued: A copy of the Constitution and By-Laws was passed out to all attending. Discussion was made by including with the By-Laws any and all policy letters the officers and/or club members vote on or deem necessary. These are to be included as Addendums. Continuing, the MCARC website: Ken and Coralee are asking for help in getting the website up and running. John Cherry has volunteered to help out. Finally, Vice-President Fran Emerson announced her intent to move to the east coast in the next 5-6 months, and will vacate the office of Vice-President prior to the move. We will have a heads up when that happens, and the club should start now to consider a replacement. As a reminder, the January 2017 meeting will be the regularly scheduled meeting to elect new officers, so the joint Nov-Dec meeting will be for the nominations process. Also, the February meeting we will begin the preparations for this springs HamFest in April.

Monthly Meeting Minutes-Mayes County Amateur Radio Club – 2/26/2016

 

Meeting was called to order at 1903 (7:03pm), by Steve Doc Johnson, MCARC President.

Self-Introductions were made; a Quorum was announced.

The Minutes were read for the January 2016 meeting. A Motion to accept the minutes as read was made by John Simon; Seconded by Johnny Rentfro. The motion passed.

The Treasurer’s Report was read by David Stiteler, MCRAC Secretary/Treasurer. It was mentioned that a payment towards the outstanding debt to Ken Duncan was made in the amount of $20.00, handed to him during the meeting. A Motion to accept the Treasurer’s Report was made by (Doc) John Cherry; Seconded by John Edwards. The Motion passed by voice with no opposition.

Repeater Report: Ken Duncan reports that the repeaters are operating normally. The time-out issue with the Pryor 440 repeater has been corrected. On occasion the 147.060 repeater has what sounds like a “packet tone” being transmitted. This will be monitored. No other interference is noted.

The UHF net on the 442.075 repeater is up and running; totals are not available at this time.

Net Coordinator’s Report:  Larry Yarbrough reported 30 check-in’s / 6 re-checks, with Ken Duncan reporting 10 check-in’s / 2 rechecks for the week he handled the net in February.

Unfinished Business:  (Doc) John Cherry reported that the MCARC web site is up and running. To date, 300 people have visited the website. Also, John is looking for historical information about the club so he can post it to the web site. Any and all submissions will be welcomed. By decree, Doc John Cherry is now known as “The Web Master”.

Ken Duncan attended the meeting with the Pryor Park Board Council, and has locked in our site for Field Day this summer at Whitaker Park.

President Doc Johnson is asking for volunteers to look into finding help with the set-up/tear-down of HamFest in April.

New Business:  Spavinaw is having a “Mickey Mantle Day” in October. Organizers are wondering if the club would like to participate with a station operating during the event. Club discretion on the station (UHF, VHF, or HF). If interested, members can contact N5YJL and/or Doc Johnson.

There is a policy letter in place for the refusal of membership to any individual with a questionable background. As President, Doc Johnson took this initiative and wrote this policy letter, which will be added as an Addendum to the Constitution and By-Laws. Doc informed the club that this policy letter has been used. After further discussion, the club membership agreed with this policy.

It was reported that Frances Emerson, MCARC Vice-President, is leaving sooner than later, moving out east closer to family. A motion was made by Greg Adams to make Frances a Life-Time Member; Seconded by Larry Yarbrough. The Motion passed with enthusiasm.

Because of Frances’s pending departure, nominations to replace Frances as Vice-President per Article 5, Section 3 of the By-Laws were taken. A nomination of John Simon was made by (Doc) John Cherry, with no other nominations being made; Seconded by Ken Duncan. John Simon accepted the nomination. Motion to elect John Simon by acclimation to the office of Vice-President passed, to be filled immediately.

Doc Johnson and his wife attended a storm spotter’s class in Wagoner. Doc met with the Emergency Management Director in Wagoner County and he is interested in involving Ham radio to the operations. The class was very informative. More classes will be held through the spring and summer for those that are interested. The classes are free.

Doc Johnson took a count of ARRL members that are members of the club. So far, we have 6 currently members of ARRL and this number will be reported to ARRL.

Drawing for prizes was made (first aid kits). 3 prizes were given away.

Monthly Meeting Minutes-Mayes County Amateur Radio Club – 3/25/2016

 

Meeting was called to order at 1904 (7:04pm), by Steve Doc Johnson, MCARC President.

Sign-In sheet was passed around, with 3 officers and 22 members / guests present.

The Pledge of Allegiance was observed.

Self-Introductions were made; a Quorum was announced.

Visitors were introduced and asked to sign in.

During the reading of the Minutes, Happy Birthday was sung by Pizza Hut staff and club members to Coralee Duncan.

Motion to Accept the Minutes for the February 2016 meeting as read made by Frances Emerson; Seconded by Doc Cherry. The Motion passed.

The Treasurer’s Report was read by David Stiteler, MCARC Secretary / Treasurer. It was mentioned that a payment towards the outstanding debt to Ken Duncan was made in the amount of $45.00, handed to him during the meeting. This leaves a balance to Ken of $45.00. A motion to accept the Treasurer’s Report as read was made by Johnny Rentfro; Seconded by John Simon, MCARC Vice-President. The Motion passed.

Repeater Report: Ken Duncan reported no interference reported and that all repeaters are operating normally.

Net Coordinator’s Report: Larry Yarbrough reported 68 check-in’s / 3 re-checks for the month of March. Johnny Rentfro reported the numbers for the UHF Net: January-48; February-70; and March-47 so far. He also reported that he has been receiving a consistent check-in from a ham located in Australia. (Call sign not readily available).

Unfinished Business: Doc John Cherry reported to date 595 looks for the website.  Doc Johnson recommended changing the scrolling ribbon on the website to reflect upcoming events, such as HamFest and Field Day.

Coralee Duncan put together a historical record about the club, and has asked Larry Yarbrough to look it over before posting it to the website.

New Business: Doc Johnson and Ken Duncan did an inventory of club assets. The only items found missing were 2 orange cones.

Kathy Cherry proposed doing birthday cards for members, so she needs the members to provide their birthdays, names and addresses.

Discussion was made on the Spavinaw “Mickey Mantle Day” event, upcoming on October 22. Members in Spavinaw have a location for the station, if we participate. The question is will it be a 24 hour operation? More to follow.

Ken Duncan announced that the Grand Lake club, as well as RCWA, was invited to participate in our Field Day activities this summer. Both clubs have agreed to come.

It was agreed by all that there will be a good showing for HamFest this year.

Monthly Meeting Minutes-Mayes County Amateur Radio Club – 5/27/2016

Meeting was called to order at 1900 (7:00pm), by Steve Doc Johnson, MCARC President

Sign-In sheet was passed around, with 3 Officers, 29 members and guests present.

The Pledge of Allegiance was observed.

Self-Introductions were made; a Quorum was announced.

Steve (Doc) Johnson wanted to thank the group that helped drop a 60’ tower that past Saturday.  They did a great job.

The Minutes for the last meeting, which was in March 2016 due to April’s meeting being cancelled, was read. A Motion to Accept the Minutes as read was made by Johnny Rentfro; Seconded by Jim Erb. The Motion passed.

The Treasure’s Report was read by David Stiteler, MCARC Secretary / Treasurer. The last payment of $45.00 to Ken Duncan was passed to him at the meeting, cancelling the clubs debt. A Motion to Accept the Treasurer’s Report as read was made by Johnny Rentfro; Seconded by Bill Doyle. The Motion passed.

Repeater Report: Occasional cur-chunking has been noted. There is no pattern to it, so this interference is still unknown. Club members and Ken Duncan will continue to monitor the situation.

Net Coordinator’s Report: Larry Yarbrough reported for the month of April 63 check-in’s / 4 rechecks; for May 63 check-in’s / 8 rechecks. Johnny Rentfro reported for the UHF nets for April 68 check-in’s and for May 58 check-in’s. Johnny also provided the call sign for the Ham in Australia that checks-in via Echo-Link, VK8PDG. Listen for him!

Doc John Cherry reported that to date there has been 1035 looks on the website. Doc John also brought up the possibility of donating some funds to QSL for our use of the website. A Motion to donate $50.00 per year to the QSL website was made by John Simon, MCARC Vice-President; Seconded by Johnny Rentfro. The Motion passed.

New Business: 3 new members joined the club during HamFest. We welcome the new members. So, HamFest was successful.

Field-Day: Ken Duncan announced that the Grand Lake Club will be joining us for Field-Day. Also, the Batfish Club will join us.

We are in need of a new canopy. Ken recommended the club approve funds to be available to purchase a 10’X20’ canopy for club events to replace the canopy we lost last year. A Motion was made by Larry Yarbrough to purchase a new canopy; Seconded by Johnny Rentfro. Discussion was made to place a cap of $200.00 for the canopy. The cap was approved by the club, and the Motion passed.

Since the club is hosting Field-Day in Pryor, we would like to provide food for the participants.  A recommendation was made for the club purchase the food (we have cooks in place!), for Saturday evening and Sunday morning. The Grand Lake Club is providing the bacon. Recommendation is $75.00 for meat; $75.00 for condiments (buns, ketchup, mustard, etc.) and water. Motion to purchase food was made by John Edwards; Seconded by Johnny Rentfro. The Motion passed. Kathy Cherry volunteered to pick up the food, and the club will reimburse her.

Ken stressed the need for volunteers. John Edwards volunteered to by our photographer. He will be filming also to produce a documentary on the club. John Cherry is our Safety Officer. Dustin from the RCWA club will be doing the cooking.

The club needs a Communications Officer to coordinate getting out the ARRL Field-Day posters and contacting the local newspapers and public officials with an invitation to attend. Coralee Duncan was nominated as our Communications Officer. The nomination passed.

We need a volunteer to act as a Public Affairs Officer during Field-Day.

We need a time keeper for the ARRL frequency announcements.

We would like to set up a “Get on the air” station to get new Hams, old Hams and third party traffic involved. We have the means to do this.

We get extra points if we have an “Educational Event Station Manager” assigned. This person invites organizations such as the Boy Scouts and Girl Scouts to attend and get involved.

Some equipment is still needed for the event. Please check and coordinate with Ken what can be provided against the list on the website with what you want to bring of your own.

Remember, this event for our club and visitors is not necessarily for the points; it is for the fellowship and camaraderie of all involved; to have fun and show that this club can operate in a disaster situation if needed. This is a great training event.

Old Business: Mickey Mantle Days in Spavanaw. We have a location to use for 3 days. The Grand Lake Club has committed to operate during the festival.

Monthly Meeting Minutes-Mayes County Amateur Radio Club – 7/29/2016

 

Meeting was called to order at 1900 (7:00pm), by Steve Doc Johnson, MCARC President

Sign-in sheet was passed around, with 3 Officers, 23 members and guests present.

The Pledge of Allegiance was observed.

Self-Introductions were made; a Quorum was announced.

The Minutes for the last meeting was read which was in May 2016. (Note: there was not a meeting in June due to the Field Day activities taking place at the same time). A Motion to Accept the Minutes as read was made by Johnny Rentfro; Seconded by Greg Adams. The Motion passed.

The Treasurer’s Report was read by David Stiteler, MCARC Secretary / Treasurer. Of special mention was the check for $185.00 for the purchase of the new canopy for Field Day had not yet cleared the bank, but the ending balance of club funds showed that amount removed. Also, the Treasurer reported that additional checks was going to be written to cover the costs that the club had approved of for Field Day needs, and that the current balance would again decrease. A Motion to Accept the Treasurer’s Report as read was made by Doc John Cherry; Seconded by John Simon, MCARC Vice-President. The Motion passed.

Steve Doc Johnson suggested that even though we aren’t hurting for funds after Field Day, any contributions to replenish the Operating Funds in addition to dues accepted would be greatly appreciated.

Repeater Report: Ken Duncan reported no cur-chunking noted lately. The earlier reported interference has dissipated. We will continue to monitor; otherwise all repeaters are operating normally.

Net Coordinator’s Report: Larry Yarbrough reported for the month of June, 67 check-ins / 9 re-checks; July, 68 check-ins / 6 re-checks. Johnny Rentfro reported for the UHF nets in June 68 check-ins and July had 53 check-ins. Doc John Cherry reported to date 1422 looks to the website. The website is doing well.

Unfinished Business: Spavinaw needs a spread sheet made up for their Mickey Mantle Days operation- a schedule. We still have the location to operate during the event.

Congrats to the new Extra Class members passing their tests; John Simon, Johnny Rentfro and Jim Erb.

New Business: Field Day Report: Ken Duncan reported a great time by all. We had a great turn-out of people and our equipment worked great. The bands didn’t cooperate too well until after 2100 (9:00pm). 4 people stayed the night at the site; 8 people were present for breakfast Sunday morning. Final tally: 112 phone contacts, 117 digital contacts. We should receive 700 extra points for inviting newspapers and officials, etc., to the event.  Special Mention: this was Chris Redman’s (KG5KBL) first Field Day event and was very much a participant. All records and paperwork has been turned in to ARRL. Larry Yarbrough recognized Ken and Coralee for their constant help and support for all the events and activities that this club participates in. Also, special thanks to Kathy Cherry for the food that was available to support our guys and gals.

Of Note: The Batfish club suffered severe damage during recent storms. Damage includes the loss of all of their antennas and suffered major damage to other equipment. They would appreciate any and all help that they can get.

Monthly Meeting Minutes-Mayes County Amateur Radio Club – 8/26/2016

 

Meeting was called to order at 1859 (6:59pm), by John Simon, MCARC Vice-President

The Pledge of Allegiance was observed.

Self-Introductions were made; a Quorum was announced.

The Minutes for the July meeting was read by David Stiteler, MCARC Secretary / Treasurer. A Motion to Accept the Minutes as read was made by Doc John Cherry; Seconded by Johnny Rentfro. The Motion passed.

The Treasurer’s Report was read by David Stiteler, MCARC Secretary / Treasurer. It was reported that all checks covering the expenses for the Field Day activities have been distributed. A Motion to Accept the Treasurer’s Report as read was made by Larry Yarbrough; Seconded by Coralee Duncan. The Motion passed.

Repeater Report: Ken Duncan reported that all repeaters are working well. Although, somewhere around 2100-2200 on some nights a digital tone bleeds in on the frequency. The interference is not too bad right now, but it will be monitored.

Net Coordinator’s Report: Larry Yarbrough reported 55 check-ins / 4 rechecks for August. For the UHF net, Johnny Rentfro reported 65 check-ins. Doc John Cherry reported 1575 looks to the website to date.

Unfinished Business:  Spavinaw has a new location to operate from for the Mickey Mantle Days in October. They also have someone to do a spread sheet for a schedule.

New Business:  Ken Duncan revisited the situation facing the Batfish club. Due to the damage they received from the storms in July, and the lack of insurance coverage, the club was wondering if it would be possible for this club to provide a donation to help them out. The discussion was to decide if the MCARC would provide a monetary donation or equipment. Ken suggested a monetary donation. The suggestion of a $200.00 donation was possible. A Motion to provide the Batfish Club a $200.00 donation was made by John Cherry; Seconded by Larry Yarbrough. No further discussion on the matter, and the Motion passed.

A suggestion was made to get with the RCWA and see about the possibility of switching months to do testing. It was mentioned that the RCWA holds test sessions quarterly. We would have to check within our club the availability of VE’s and VEC’s, and what their time availability would be, i.e., monthly or bi-monthly, or even possible. A suggestion was made to post on the website an announcement. Doc John Cherry will post this announcement.

Meeting was called to order at 1900 (7:00pm), by Steve Doc Johnson, MCARC President.

Self-Introductions were made and a Quorum was announced.

 

The Minutes for the September meeting was read by David Stiteler, MCARC Secretary / Treasurer. There was no discussion and a Motion to Accept the Minutes as read was made by Larry Yarbrough; Seconded by Johnny Rentfro. The Motion passed.

 

The Treasurer’s Report was read by David Stiteler, MCARC Secretary / Treasurer. It was reported that the check written to the QSL.net Support team has finally surfaced, and with the deposit made last month there was no movement to the accounts. A Motion to Accept the Treasurer’s Report as read was made by Larry Yarbrough; Seconded by Doc John Cherry. The Motion passed.

 

Repeater Report: Ken Duncan reported that all of our repeaters are working well. So far, it’s been determined that our repeaters are getting the most use of any repeaters in the Northeast corner of Oklahoma.

 

Net Coordinator’s Report: Larry Yarbrough reported the VHF net for the month of October had 56 check-ins and 14 rechecks. Johnny Rentfro reported the UHF net in October had 106 check-ins.  Doc John Cherry reported for the website a total of 1909 looks so far.

 

Unfinished Business: The Mickey Mantle Days are over. Even though our club did not participate in the event, those that did attend felt that the event was a success.

 

New Business: Johnny Rentfro would like to have the club sponsor next year’s Mickey Mantle Days, as well as other events to bring recognition to our club and to the hobby. Ken Duncan can present a list of events that the club can have a discussion about and vote on to participate in and sponsor. The club will require a lead time to those events, and Larry Yarbrough suggested that the club look at these on a case by case basis, or as they are posted. The club is going to continue to look at this possibility.

The October meeting is the time to make nominations for the four Club Officer positions, for the election that is to be held in January. The nomination process was held with these results:

As a reminder, the ballots will have a place to write in any nominations not made during the October meeting, if any are desired. Also, to vote in the election in January, voters must be members of the club with their annual dues paid in full, which will be collected prior to the beginning of the meeting.

 

Ken and Coralee Duncan will e-mail or mail out the announcement for the Christmas Party. It is very important to RSVP when the announcement is received so that an accurate count can be made. As a reminder, the club Christmas Party is Saturday, December 3 at noon.

Monthly Meeting Minutes-Mayes County Amateur Radio Club – 9/30/2016

 

Meeting was called to order at 1900 (7:00pm), by Steve Doc Johnson, MCARC President.

Sign-in sheet was passed around, with 3 Officers, 22 members and guests present.

The Pledge of Allegiance was observed.

Self-Introductions were made; a Quorum was announced. At this time it was announced that J.R Wilson and wife were celebrating their 55 years of wedding bliss. Congratulations Mr. and Mrs. Wilson! Also, Doc Johnson apologized for missing the last meeting. Larry Yarbrough then asked how many current, paid up members do we show on our roster. As of this meeting, we have 54 paid up members.

The Minutes for the August meeting was read by David Stiteler, MCARC Secretary / Treasurer. Ken Duncan voiced a point in the minutes that he wanted clarification on concerning the donation to the Batfish Club last month. The point was clarified, and a Motion to Accept the Minutes as read was made by Johnny Rentfro; Seconded by John Simon. The Motion passed.

The Treasurer’s Report was read by David Stiteler, MCARC Secretary / Treasurer. It was reported that the $200.00 donation was sent to the Batfish Club on 30 August. The club won’t receive the monthly bank statement until the first week of October so we won’t know if the check has cleared yet. Ken Duncan reported that as of the last month’s meeting of the Batfish Club they had not yet received the check. The Secretary / Treasurer will check with the bank the next day, Saturday, on the status of that check as well as the check sent to the QSL website of $50.00. Ken Duncan will attend the next Batfish Club meeting and follow up on that end. A Motion to Accept the Treasurer’s Report as read was made by Larry Yarbrough; Seconded by Johnny Rentfro. The Motion passed.

Repeater Report: Ken Duncan reported that all repeaters are doing well. We still occasionally have the digital tone bleed through, but it is not interfering with regular radio traffic. We will continue to monitor the situation.

Net Coordinator’s Report: Larry Yarbrough reported 55 check-ins and 18 re-checks for the month of September. Johnny Rentfro reported for the UHF net 107 check-ins; 83 for September, and 24 carried over from August. Doc John Cherry was not present for the meeting, but with a quick look on the internet the website showed 1734 hits to date.

Unfinished Business: The Mickey Mantle Day’s in Spavinaw is still on, as far as we know. Ken Duncan reported that on the ARRL’s website, this club is shown as being the trustees of the event call sign of K5M. A serious discussion ensued as to when and how this club was assigned as the trustees for this call sign for this event, when participation in this event was questionable. As far as the club membership was concerned, this club was invited to participate in the Mickey Mantle Days celebration, not oversee the amateur radio operations. Also, due to the lack of communication with the event participants, the club expressed concerns involving our participation. A Motion was made to cancel our involvement in the Mickey Mantle Days celebration by Jim Chambers; Seconded by John Simon. The Motion passed. Steve Doc Johnson will contact the participants of this clubs decision to withdrawal from the event, and find out how we wound up being trustees of an event call sign we didn’t approve of.

New Business: Donna Johnson, the wife of the MCARC President, has created a Facebook page for the club. John Simon asked if the club should have voted on having a Facebook page. During the discussion, it was decided that a vote wasn’t necessary, but maybe we should have had a discussion about it before hand. The decision of the club is to keep the page for now, but have assigned administrators to keep it up. At this time, the assigned admins are the club officers, and Doc John Cherry, the webmaster.

Ken and Coralee Duncan proposed for the annual club Christmas Party, which is held at their hanger located at the Claremore Regional Airport outside of Claremore, to take place on Saturday, December 3, 2016 at Noon. Anyone desiring to bring side dishes may do so. Ken and Coralee will take care of the meat selection. This is a club party, for club members, and members of their families. Coralee will handle the invitations and RSVP’s. Those that would like to make a donation to offset the cost of the party should make those donations directly to Ken and Coralee. Any and all donations will be happily accepted.

This year is an election year for new club Officers. Traditionally, due to the holidays, MCARC suspends business meetings until the regularly scheduled January meeting. The discussion brought up the possibility of making the nominations for club Officers during the October business meeting, October 28, 2016. A Motion to hold nominations during the October meeting and suspend the November and December meetings was made by John Simon; Seconded by Johnny Rentfro. The motion passed. Therefore, nominations for all club Officer Positions will be made in October, and we will suspend the business meetings for November and December so we all can enjoy the holidays.

The Secretary / Treasurer announced that he will not run, and will refuse to accept any nominations to remain as Secretary / Treasurer. Having announced this, Steve Doc Johnson desired, per the Mayes County Amateur Radio Club Constitution and By-Laws; Article V; that nominations be made for (1) Secretary, and (1) Treasurer; two separate positions to be occupied.  Start thinking about your nominations.

A Motion to Adjourn was made by Johnny Rentfro; Seconded by John Simon. The Motion passed at 2011 (8:11pm).
